JOB DESCRIPTION
Position: Admin Officer
Number of recruitment: 02 people
Form: Part-time / Full-time
This position is responsible for administrative and organizational tasks, ensuring that the department remain focused on assigned tasks.
I. Responsibilities
1.1 Reception
- To receive telephone and fax
- Archive the phone number of the partners have regular contact with the company, updated employees and customers phone numbers list
- Guide and welcomes guest, who come to work at the company.
- Responsible for maintaining standards working environment.
1.2 Document
- Archive and manage records and documents
- Supports documentation printing and photocopy
- To manage and provide the company’s documents, form ...
- To receive, process and distribute arrival and departure documents
- Make express delivery documents, letters, package
- Drafting administrative documents as required by leaders
- Supporting the HR department works on personnel records management, recruitment and other work as required.
1.3 Logistics
- Interested in employees life (birthday, sick, maternity visits...)
- Supporting logistics, organization of meeting, workshops, event...
- Prepare business trip procedures for employees in company: book a flight, hotel room ...
- In charge of other logistics jobs at the office
1.4 Management and delivery of stationery, equipment at the company
- Tracking and management use situation of stationery in the company
- Inventory of assets and tools, instruments quarterly and annual
- Make a list of asset tracking, asset data update
II. Qualifications
- Proficient in Microsoft Office programs including Word, Excel, PowerPoint and Outlook.
- Excellent organizational and communication skills.
- Problem solving and handling work skills
- Ability to work independently and team work
- Always cheerful, gentle, enthusiastic
- Cooperation and available to help colleagues
- Be honest, careful and devoted work
- Strong verbal and written communication skills in English is an advantage.
